FOUNDATION® Job Costing & General Ledger Report Writing Utilizing the DataGenie

Prerequisites/Advanced Preparation: Attendees should be familiar with both Job Cost structure and the Chart of Accounts at their company.


This class will cover advanced use of the J/C and G/L DataGenie report writers. Students will get an in-depth review of the following areas:

  • Job Cost. We will define all capsules available in the J/C DataGenie and include the precise location of the data within FOUNDATION. We will also provide in-depth training on the creation of basic job level reports and more detailed reports broken down by phase/cost code and cost class.
  • Advanced formulas. This includes hidden calculations and the use of if/then statements. We will discuss the teporting of over/under billing, job profitability, forecasted cost at completion, quantity tracking, committed cost and more.
  • Job Maintenance. We will discuss setting up job maintenance to enhance sorting/filtering and subtotals when creating reports.
  • General Ledger. We will define all capsules available in the G/L DataGenie and discuss how to create custom formatted Income Statements and Balance Sheets. We will also cover the use of formulas, percentage calculations and drilldowns in the G/L report writer.
  • Trailing 12, Budgeting and Other Non-Standard Financial Reporting. We will discuss reporting for use in indirect / overhead costing and filtering data based on job maintenance items. 
  • G/L DataGenie. Use and reporting of divisions within this module.
  • Tips and tricks to make sure report data is valid.
  • General Functionality. We will discuss exporting data using the .csv function and turning that data into something useful.

This class will also include a number of auditing tricks to help find errant entries in the Job Cost and General Ledger Modules.

Advanced Report Writing Utilizing the MS Query Tool and Microsoft® Excel

Prerequisites/Advanced Preparation: Strong Understanding of Microsoft Excel


This class provides an introduction to accessing data with the MS Query Tool and creating reports using Microsoft Excel. The instructor will provide a thorough explanation of the FOUNDATION database structure, review how and where to find data within the tables, and how the tables relate to the FOUNDATION entry windows. Top tables that handle the majority of reporting requirements will be reviewed. Attendees will begin with simple lists and reviews of historical data, then continue on to advanced reporting from the Job Cost, General Ledger, Accounts Payable, Accounts Receivable, and Payroll Modules.

Use of advanced formulas in Excel, including vlookups, sumifs and countifs will be performed. Advanced functionality in Excel will include tables, pivot tables, and slicers to organize and optimize data reporting in Excel.

This class is as much about the front end (Excel) as it is the back end (the FOUNDATION database), and learning how to bring the two together.

This Effective Job Costing is designed to take your understanding of Job Costing to new, advanced levels! You’ll walk away with a thorough understanding of correct cost code setup, advanced budgeting techniques, overhead allocation tracking, job cost report linking, user-defined field utilization, and so much more!

Topics covered include:

Job Maintenance Setup. It all starts here with in-depth exploration of the additional job maintenance items that can enhance reporting and system usage. We will also discuss the proper use and setup of user defined fields, existing sorts, and custom sorts. 

Cost Code and Cost Class Setup. We will discuss how effective cost coding effects the gathering, use, and reporting of data.

Budgeting Jobs. A budget is not just a budget. It can control how the system behaves and works for you. 

Use of Change Orders and Purchase Orders. These are essential components of good Job Costing practices. Find out how to use them to properly code data into reports. 

Timecard entry. Whether you are using paper, an Excel spreadsheet or FOUNDATION mobile, we will look at a number of options to maximize the accuracy of your timecards. Forecasting job costs. We will also look at the forecasting of job costs, entry of percentages complete, estimated cost to complete, or estimated cost at completion. 

Job Cost Reporting. We will look at a number of Job Cost Reports that will pull together all of the information covered in this class.

Designed for users who are new to the system, or those who want to better understand basic system usage and flow, this course will teach you best practices for data entry and reporting in FOUNDATION'S Base 6 Modules — Accounts Payable, Accounts Receivable, PO/Subs, Payroll, Job Costing, and the General Ledger.

Attendees will learn how to perform essential daily tasks and get the most out of Foundation’s core modules. You’ll also be introduced to FOUNDATION’s DataGenie report writers, and find out how you can use these tools to see the data your company needs to see.

By the end of this two-day course, you’ll have a thorough understanding of the base modules and a great platform for taking your company’s usage to the next level.
